Office Administrator



As office administrator, you will play an essential role in the coordination of the company's activity. The following are examples of the type of activity you will be involved in:

  • Reception, secretarial and hosting - Greeting and hosting guests, taking and directing calls, processing of snail-mail and deliveries, processing of travel and accommodation, maintenance of shared and directors' calendars and appointments, assistance with letters and key communications;
  • Ops Support - maintenance of documents and reports, assistance with coordinating project time-lines, updating ops delivery schedules, attending and recording project meetings, updating ops software;
  • Back Office Support - purchasing and receipts, assisting with employee matters, assistance with credit control and invoice generation, supplier management and office supplies management.
So, as you can see from the above examples, the role is varied and allows you to get involved in most aspects of the work that we do here, and no two days will be the same.

The role reports directly to the Commercial Director and works with all other members of the company.

Skills, Knowledge and Experience

The two pillars of your skill set must be communication and organisation.

This role will see you speaking to all levels and types of individuals from the Head of Global Finance at corporation such-and-such to the small business owner's assistant at the local car dealership, so your communication skill set needs to be well developed and you should know how to adapt it to the situation at hand.

We're also a very busy office, with numerous projects and retained contracts running side-by-side, so you will need to be organised and able to manage multiple priorities with a minimum of fuss, and be confident enough to raise concerns.

You'll need to be able to use a computer with confidence and, as a minimum, have a strong understanding of office applications.

As important as communication and organisation is the ability to take ownership of activity. If you're the kind of person that needs to be told what to do, or that assumes someone else would deal with the very obvious problem that you can see, then this ain't the place for you.

Ideally, this won't be your first rodeo and you'll have built up at least a couple of years of experience of supporting a busy, project based office or something similar with transferable skills.

The office is situated on The Watermark business park by Metrocentre and we have ample parking, plus access to the local amenities.
